Every Study Room has a membership system with four distinct roles, invitation tools, join requests, contributor links, and moderation features. This guide explains how it all works.
Every person in a Study Room is assigned exactly one role. The role determines what they can do inside the room β from full administrative control down to basic read-and-chat participation.
Owner
OWNERThe creator of the room. There can only be one Owner. The Owner has unrestricted control over every aspect of the room.

MODERATORA trusted member appointed by the Owner to help run the room. Moderators have broad management powers but cannot delete the room or change certain core settings.

Contributor
CONTRIBUTORA member trusted to add their own content to the room. Contributors can create and edit their own posts and bookshelf items, but cannot moderate others or manage the room.

Owners and Moderators can manage member roles from the Settings β Members page in any Study Room.
Removed members lose access to the room immediately. Their previous posts and messages remain visible to other members.
There are three ways to bring people into your Study Room, each suited for different situations.
Generate a shareable link or code from Settings β Members β Invitations. Anyone with the link can join instantly β no approval needed. This is the fastest way to grow a public or private room.
You can enable, disable, or regenerate the invite code at any time. Disabling it stops the link from working immediately. Regenerating creates a new code and invalidates the old one.
From the Members page, search for any NotaeLibrary user by their username and send them a direct invitation. They'll receive a notification and can accept or decline. They are not added until they accept.
Best for inviting specific people you know are already on the platform β like collaborators, friends, or team members.
Send an invitation to any email address. The recipient receives an email with a unique join link. If they don't have a NotaeLibrary account, they'll be prompted to create one.
Best for inviting people who aren't on the platform yet β like family members for a family archive room, or external collaborators.
A Contributor Invite Link is a special invitation that grants the Contributorrole immediately upon joining β bypassing the Member role entirely. It's separate from the standard invite code.
For private or invite-only rooms, users who discover the room can submit a Join Request. This is a message asking the room Owner or Moderators to let them in.
Owners can set a maximum member count for any room. This is useful for keeping rooms intimate, managing costs, or enforcing capacity for events and workshops.
When the room reaches capacity, new members cannot join β even with an invite code β until the limit is increased or existing members leave. A warning banner appears on the Members page when the room is at capacity.
Owners and Moderators have moderation tools to manage disruptive behaviour. There are two levels of restriction:
A banned member is removed from the room entirely. They lose all access and cannot rejoin unless an Owner or Moderator unbans them. Their previous posts and messages remain visible.
A muted member stays in the room but cannot send chat messages or create posts for the duration of the mute. Mutes can be timed (e.g., 24 hours) or indefinite.
All moderation actions β bans, unbans, mutes, unmutes, promotions, demotions, and message deletions β are recorded in the Moderation Log, visible to Owners and Moderators from the Settings page.
Any member can leave a Study Room at any time. Here's what happens:
Every member can customize which notifications they receive from each room they belong to. These preferences are set per room β you can have different settings for your book club than for your project team.
Events
Notifications about scheduled room events, RSVPs, and reminders.
Messages
New message alerts from room chat.
Calendar
Calendar item reminders β deadlines, reading goals, special days.
Mentions
Alerts when someone @mentions you in chat or posts.
Bookshelf
Notifications when new works are added to the room bookshelf.
Posts
Alerts when new posts are published in the room.
Newsletter
Room newsletter digests and announcements.
Direct Messages
DM notifications from room members.
Polls
Poll creation and result notifications.
Deadlines
Task and project deadline reminders.
You can also mute email notifications for a specific room by toggling Email Notificationsoff in your per-room preferences. Muted rooms won't contribute to your Homeroom unread badge count.
