notaeAI Tutorial

A complete guide to notaeAI — your personal AI assistant on NotaeLibrary. Learn where it lives, what it may read, how to get the best answers, how to chat with personas, and how to build your own prompts.

✨

What is notaeAI?

notaeAI is your personal AI assistant — a single place where you can ask anything, and it picks the right tools and models for you behind the scenes. Think of it as a smart research companion that can search the web, deep-dive into topics, draft documents, generate images, Chat with historical figures, and more — all from one friendly chat.

What makes it different from a normal chatbot: notaeAI figures out the best tool for you. It looks at your question and decides whether it needs a quick answer, a web search, a deep research report, an image, or a written document — and it does that automatically. You never have to pick a tool or write a fancy prompt. You just talk.

🗂️

Prompt Library

Pre-built, curated prompts you can use as-is — and make yours, with your own details, in one click. No prompt engineering needed.

📚

My Research

Everything notaeAI has researched for you: searchable, organised, and shareable into a study room.

🎭

Personas

Chat with historical figures (Einstein, Cleopatra) or expert advisors.

🎙️

Voice

Hear your assistant speak, and talk back with your microphone.

🧠

Smart routing

notaeAI picks the right tool for each request automatically.

🍴

Build your own

Write a prompt with the step-by-step wizard, test it, and submit it for the community.

ℹ️Where to find it: "notaeAI" in your Home Room Workspace — and now inside every study room you belong to, which is the next section.
💬

Plain Words — AI Terms Explained

notaeAI is for everyone, so here are the words this guide uses, in everyday language.

  • AI (artificial intelligence) — a computer program that can read, write and answer like a person.
  • Assistant — the thing you are talking to. notaeAI is your assistant.
  • Prompt — the set of instructions you hand the AI. Think of it as a recipe for the kind of answer you want. The Prompt Library is a shelf of ready-made recipes.
  • Model — the "brain" behind the AI. Different brains are good at different jobs. You never have to pick one — notaeAI picks for you.
  • Route — to send your question to the right tool. notaeAI looks at what you asked and decides whether it needs a quick answer, a web search, a deep research report, an image, or a written document.
  • Persona — a character or expert the AI plays, like Einstein, Cleopatra, or a careful medical advisor.
  • Study room — a shared space where a group keeps its knowledge, chat, tasks and files. We usually just say room.
  • Home Room — your own private hub, where your personal stuff lives.
  • Scope — where the AI is looking when it answers. Your Home Room scope means everything across your rooms plus your personal stuff. A room scope means only that one room.
  • Conversation (also called a thought) — one back-and-forth chat. Each is saved on its own so you can come back to it.
  • History — your past conversations. The sidebar shows a short Recent list; the History button opens the full list.
  • My Research — the big, searchable library of everything you have ever asked notaeAI, with folders, tags, pinning and archiving.
  • Credits — the units that pay for using the AI, like tokens at an arcade.
  • Agent — a prompt that can reach out for real, live information (like today's weather) instead of only chatting.
🏠

Where notaeAI lives — your Home Room, or a room

notaeAI has two homes, and the one you are in decides what it is answering from. Both are the same assistant, with the same Recent list, the same Prompt Library and the same voice — the only difference is which knowledge is behind it.

🏠

Your Home Room

notaeAI scoped to everything across all the rooms you belong to, plus your own tasks, messages, calendar and inbox. This is the default, and where you land from the Home Room menu.

📚

Inside a study room

That room's notaeAI, at /study-rooms/<room>/notaeai — the same chat, wrapped in the room's own top menu, sidebar and cover, so you can move around the room without leaving the conversation.

Getting from one to the other

1

Pick a room from the “Answer about” menu

Above the chat is an Answer about dropdown listing the rooms you belong to, with Home Room (default) at the top. Choosing a room takes you to that room's notaeAI — you are not changing a setting, you are going there.
2

Or use the room's own menu

Inside a study room, the room dropdown in the top bar has ✨ Ask notaeAI in it, alongside the room's other places. That is the way in when you are already somewhere in the room.
3

Coming from the room's Sage chat

The Full page link in a room's Sage popup opens notaeAI in that room. notaeAI keeps its own conversations, separate from Sage's — the page says so when you arrive, and links you back to the Sage thread you were reading.
ℹ️Your header always tells you where you are. An Home Room - notaeAI title with your avatar means the cross-room scope. A room name - notaeAI title with that room's cover image means you are in the room's own notaeAI, with its menu on screen above you.
🔎

What notaeAI is allowed to read

This is the part worth understanding, because it is where notaeAI differs from a general chatbot — and where it is deliberately honest about its own limits.

📋

Always included: your personal things

Your tasks, messages, calendar and inbox are never switched off by choosing a room. Ask “what are my overdue tasks” in any room and it answers the same way.

📚

In a room: that room's activity

The room's posts, gallery, direct messages, room email, catalog and newsdesk — as that room's own pages show them.

🔬

In a room: that room's indexed content

The room's most relevant passages, alongside its approved knowledge, recent activity, calendar and events.

🗂️

Every answer says which scope it used

A small chip above your conversation names the room — or the Home Room — that the answer came from, so you never have to guess.

⚠️notaeAI says what it cannot reach rather than guessing. In a room, its reach into that room's content is a ranked subset — the passages most relevant to your question, not everything the room says — so an answer can be incomplete without the room being silent. When a question really needs the room's own material, notaeAI tells you and points you at the room, where its Sage can look further. It will not quietly answer from general knowledge or the open web instead.
💡Are you a room owner? The AI instructions you set for your room shape the answers your members get here too — the same instructions the room's own assistant follows, so the two cannot give your room two different personalities.
🖥️

The notaeAI Page

The notaeAI page has a modern, user-friendly layout designed around the chat:

📚

Left — Recent | Library

Two tabs in one sidebar: Recent is your past conversations; Library is the Prompt Library you can start from.

💬

Center — Chat

The main conversation area with the input box and mic.

📄

Right — Document Preview

Appears automatically when you attach a document or image.

🎙️

Header row

Your active persona, voice controls, + New, and quick actions for the open conversation: Share, Pin, Archive, Export and Trash.

💡On desktop the left sidebar can be collapsed to a thin rail to give the chat more room. On mobileit becomes a drawer you open with the "Recent & Library" button.
ℹ️A toolbar strip just above the chat has ✨ Prompt Library and 📚 History. These open the full pages without losing your conversation. In a room, History opens that room's history — only that room's conversations. In your Home Room it opens everything.

Inside a room, the page grows a shell

A room's notaeAI sits inside that room, so the room's own chrome comes with it: the room dropdown in the top bar (chat, calendar, tasks, bookshelf, and the rest of the room's places — only the ones that room actually has enabled), the room switcher sidebar, and the room's background tint. Nothing about the chat itself changes; you simply do not have to leave the room to use it.

💡Because you are in the room rather than viewing it from outside, the links you need are already around you — that is the whole point of the room's notaeAI having its own address.
📚

The Prompt Library

The Prompt Library is a curated set of ready-to-use prompts. Instead of staring at a blank box, you pick a prompt, answer a couple of friendly questions, and go. There are two ways to reach it:

📚

In the sidebar

The 'Library' tab — the compact list you can open a prompt from without leaving the conversation.

✨

The full page

✨ Prompt Library in the header (or the Home Room Workspace) — search, categories, and both libraries in full.

1

Browse or search

Use the category chips (Research, Persona, Historical Persona, Expert, Writing, Image, Productivity, General) or the search box. Featured prompts are highlighted at the top.
2

Pick a prompt

Click a card to open it — you'll see its description and the questions it will ask.
3

Fill in a few details

For example, "Deep Research" asks what to research, who it's for, and how deep to go. "Chat with Einstein" pre-fills his persona and asks what you'd like to ask.
4

Start

Click Start. notaeAI uses your answers to build the prompt and begins the conversation in that context.
💡You can preview the prompt — see the exact instruction the assistant will use — and even edit the final instruction before you start.
ℹ️Using a prompt inside a room keeps you in that room. Your room stays selected (the “Answer about” menu no longer greys out), and the conversation you have is saved in that room's history, just like any other conversation there. A prompt simply gives the assistant its own instructions and its own questions to ask — it no longer pulls you out of the room. If you want help that is specifically about the room's own knowledge, the room's own assistant (Sage) is the one to ask.

On the full page the library has three sections:

⭐

Your prompts

The prompts you have set up. Each one remembers your details and keeps its own conversation.

✅

Approved — anyone can use

Reviewed by a librarian. Use one to make it yours, or customize it into an editable copy.

✍️

Prompts you wrote

Everything you have written or customized, at every stage — private drafts included.

Making a prompt yours

The two buttons on every approved prompt do different jobs, and the difference is worth knowing:

  • Use makes the prompt yours. It creates your own copy of it — your details, your own conversation — and puts it in ⭐ Your prompts. The prompt itself stays the librarian’s, so when they fix or improve it, your copy gets the improvement too. Come back tomorrow and you land in the same conversation; pressing Use again reopens that one rather than starting over.
  • 🍴 Customizemakes an editable copy you own and maintain. Use it when you want to change the prompt’s actual instructions — see Create, Customize & Submit Your Own Prompts. Nothing you set up in Your prompts needs this.
  • A prompt that was copied from another shows ↳ forked from … so the original author keeps the credit.
💡Set your details once. Your shared details — your location and units — are used by every prompt that asks for them, so you never retype your city. Each prompt in Your prompts also has a Details button, for overriding them on that one prompt only.
ℹ️In the sidebar the Library | Mine toggle switches between approved prompts and everything you have written. Yours are runnable at any status, and each carries a badge — Private, Awaiting review, Approved, or Needs changes.
🎭

Personas — Historical & Expert

Some prompts turn notaeAI into a persona — a specific character or expert that answers in character.

🧠

Historical Personas

Chat with Albert Einstein or Cleopatra. They speak in their own voice and era.

🩺

Expert Advisors

Medical information, legal questions, and scientific reasoning — with careful, sourced answers.

🎨

Creative Personas

Writers, image generators, and task-specific helpers.

⚙️

Productivity

Help with documents, emails, and everyday tasks.

ℹ️Guardrails: expert personas for medical, legal, or finance topics are careful — they cite sources, flag uncertainty, and include a clear "this is general information, not professional advice" disclaimer. notaeAI never pretends to be a substitute for a qualified professional.

You can make a persona personal — adjust the fields (name, era, skills, training, tone) to create your own version of a persona before you start.

💬

Just Type — the Smart Orchestrator

Don't want to pick a prompt? Just type a question directly. notaeAI's orchestrator analyzes your message and routes it to the right tool:

  • Quick answer — general questions and explanations
  • Web search — "what's the latest…", "who is…" — a current, sourced answer
  • Deep research — a thorough, multi-source brief with citations
  • Image — "generate an image of…", "draw…"
  • Write a document — "draft a letter / report / essay…"
💡If you attached a document or image, notaeAI switches to the right tool for that — summarize, review, describe, or answer questions about it.
📎

Images & Documents

You can attach an image or a document to any message, and notaeAI will work with it.

🖼️

Images

Describe, read the text in, summarize, answer about, or edit an image.

📄

Documents

Summarize, grammar-review, formal-review, legal-review, edit, or ask about a document.

When you attach something, a small chip appears in the chat and the Document Preview panel opens on the right (on desktop) or as a sheet (on mobile) so you can see what you're working with.

⚠️A legal review points out risks and recommends a qualified professional — it is not legal advice, and notaeAI will say so.
🎙️

Voice — Hear Your Assistant

notaeAI can speak its replies out loud. When you get an answer, it auto-plays in the assistant's voice — unless you are in Text only.

1

Voice mode

One control in the chat header, with three states: 💬 Text only, 🔊 Listen and 🎧 Hands-free. It shows which one you are in, so there is nothing to guess about whether a click turns voice on or off.
2

What each mode does

Text only keeps replies on screen. Listen speaks replies and puts your dictation in the message box to review first. Hands-free speaks replies and sends your dictation as soon as you stop talking.
3

Hear it again

Every reply has a ▶ Hear this button — tap it to replay the audio.
4

Stop

Use ⏹ Stop to interrupt a long reply.
5

Pick the voice and the default mode

Go to Voice settings to choose a default voice (preview it before saving) and to set the mode new conversations start in.
6

This browser or your account

A mode you pick in the chat header applies to that browser only, and it overrides your account default. Back in Voice settings, Use my account default here clears it.
ℹ️Each persona can have its own voice — set on the prompt (in the persona's editor). So Einstein may sound different from a medical advisor. If a persona doesn't set a voice, it uses the default.

The 🎤 microphone is separate from voice mode and is available in all three: it dictates, and the mode decides whether what you said waits for you or sends itself.

🎤

Talk Instead of Type

Use the microphone button next to the message box to dictate instead of typing. Tap it, speak, and your words appear in the message box — then review and send.

💡If your browser blocks dictation, check the microphone permission in your browser settings.
🪙

Credits & Costs

notaeAI is credit-based. Your credit balance is shown as a pill in the chat.

  • Cheap actions (chat, quick web search) run silently.
  • Pricier actions (deep research, image generation, document writing) show a one-tap "≈ N credits — continue?" confirmation first.
  • Online voice/TTS is metered per 1,000 characters.
⚠️If you run out of credits, notaeAI will ask you to top up before continuing. Rarely, a pricier action can be blocked until you have enough. This protects you from surprise costs.
🗂️

History & Conversations

Every chat you have is saved as a conversation. Your recent ones are listed in the Recent tab of the left sidebar, so you can jump back in.

  • Click a past conversation to reopen it and keep going.
  • + New starts a fresh conversation.
  • The trash icon deletes a conversation.

While a conversation is open, the header row above the chat gives you quick actions for it — ⇪ Share (post it into a study room), 📍 Pin, 🗄 Archive, 📥 Export (download it as a file) and 🗑 Trash (delete it). These are the same actions you find on the cards in My Research, now one click away.

A conversation belongs to the room it started in

This is on purpose, and it is what keeps a room's notaeAI limited to that room:

  • In a room, the Recent list shows only that room's conversations. A room with no conversations yet says so.
  • In your Home Room, the Recent list shows every conversation you have — its heading says across your rooms — and each conversation that belongs to a room is tagged with that room's name.
  • Clicking a conversation that belongs to a room takes you to that room's notaeAI and opens it there, rather than showing one room's conversation inside another.
  • Changing rooms does not carry the conversation with you. You land on the new room's own history. The conversation you were in is waiting, unchanged, in the room it belongs to.
ℹ️Conversations from before this existed are Home Room conversations. They were never recorded against a room, so they appear in your Home Room list — which is exactly the scope they were mostly had in. Nothing has been hidden from you.
ℹ️Related conversations can later be grouped into a Pathway (a folder with a goal) and turned into a document — turning a chat into a finished piece of work.
💡The Recent tab is the short list. For the full history — folders, tags, pinning and search — use the 📚 History button in the toolbar above the chat. In a room it opens that room's history page; in your Home Room it opens My Research, which keeps every conversation you have made, in every room.
📚

My Research — Your Saved Work

Everything notaeAI does for you is kept. My Research is the full library of your saved work — each item is a complete conversation you can reopen, run again, organise, or share into a study room. You reach it from the 📚 History button in the toolbar above the chat (which opens it when you are in your Home Room), or from 📚 My Research in your Home Room menu.

ℹ️Each room also has its own History page. While you are inside a study room, the 📚 History button opens that room's history — only that room's conversations, with the same folders, tags, pinning and search. My Research (from your Home Room) is the one place that shows everything, across every room.
🔎

Search

Find a run by what it was about, months later.

🗂

Folders & tags

Group runs your own way — make a folder, tag a run, filter by either.

📌

Pin & archive

Pin what you return to; archive what you are done with (archived runs stay hidden until you ask).

↻

Run it again — or continue

Re-run a one-off prompt with the same values. A prompt you have set up says Continue instead, and picks the conversation back up where you left it.

1

Open a run

Click a card to read the whole conversation again — including any images and documents that were part of it.
2

Organise it

Use the folder and tag controls on a card, and the 📌 Pinned / 🗄 Archived filters at the top.
3

Take it somewhere

⇪ Share for Discussion posts the run into a study room — see Sharing Research into a Study Room.
💡Each card also offers Export as Markdown (to keep a copy outside NotaeLibrary) and Delete, which moves the run to Trash rather than destroying it outright. These same actions — Pin, Archive, Export and Delete — are also right in the chat header whenever a conversation is open.
ℹ️A run that has been posted to a room shows a 🏠 badge with a count — that is how many rooms it has been shared into.
⇪

Sharing Research into a Study Room

Research is more useful when the people you work with can see it. Any run can be posted into a study room you can post in, and from there it can become part of that room's permanent knowledge.

1

Share it

From a run in My Research, or from the ⇪ Share button in the chat header, choose the room. You can frame it with a title and a short summary before posting.
2

It lands as a post

The conversation arrives in the room's Posts as a normal post, so members can read it and discuss it. Files and images come with it.
3

Promote it to knowledge

Open the post and choose 📚 Promote to Bookshelf. That turns the post into a reference document on the room's bookshelf — searchable by the room's AI, alongside everything else the room knows. If your role's additions are reviewed, a moderator approves it first.
ℹ️Who can share where: only rooms where you have posting rights are offered, and a run is posted once — if it is already in a room, notaeAI says so instead of duplicating it.
💡When an image is part of a run, the first one becomes the document's cover on the bookshelf — so a research brief with a chart in it looks like a brief, not a blank card.
🛠️

Create, Customize & Submit Your Own Prompts

You can build your own reusable prompt. Open the Prompt Library and choose + Create a prompt — the wizard walks you through it one step at a time:

1

Basics

A name, an icon, a description, a category, and what kind of prompt it is (task, persona, research or expert).
2

What it does

Describe the job in plain language — who it is, what it must do, and what a great answer looks like. One button turns that into a first draft of the instruction.
3

Inputs

The fields the person fills in. Each one becomes a {{token}} you can use in the instruction — this is what makes a prompt reusable rather than a one-off.
4

Instructions

The exact message the assistant receives, with a live preview of the finished text as you type, and buttons to insert your fields.
5

Guardrails

Optional, and never a blocker: if your prompt touches health, law or money, notaeAI offers a disclaimer and refusal wording you can drop into the instruction, and you can bind a guardrail policy.
6

Finish

Keep it private, or send it to a librarian for review. A rejected prompt comes back with the librarian's reason and a Resubmit button.
💡Try it before anyone else sees it. On the Instructions step you can run Try it — uses credits: one real turn against your prompt so you can read the actual answer. It saves your prompt as a draft first, tells you the cost before a pricier prompt runs, and adds nothing to My Research — no stray conversation, and your use count is untouched.
ℹ️Approval gates sharing, not your own use. You can run your own prompt the moment you save it, whatever its status. Approval is only about letting other people use it.

Customize — how shared prompts change

A prompt that has been approved and shared is locked. That is deliberate: people may have built on it, so it cannot quietly change under them. To change the prompt’s actual instructions you customize it — even if you wrote it. If all you want is the prompt with your own details filled in, just Use it instead; that needs no copy and no maintenance.

  • 🍴 Customize on any approved prompt makes your own private copy to edit and run freely.
  • Opening an approved prompt of your own shows it read-only, with a single action that makes a private copy you can edit.
  • Your customized copy starts as a private draft with its own use count, and remembers which prompt it came from.
  • Editing a prompt that is awaiting review withdraws it back to a draft, so a librarian never approves something that has changed since they read it.
💡Saving a prompt as a service room is still there too: build a prompt you use constantly and publish it as your own reusable 🧩 service room straight from the wizard's last step.
🔌

Agent Prompts & MCP (Live Data)

Some prompts are agent prompts — they don't just chat, they reach out to live data or tools using MCP (Model Context Protocol), a standard way to connect an AI to servers. So a question isn't answered from the model's memory alone; it's answered with real, fresh information.

📡

Connect to live data

A prompt can call a vetted server and answer with its result — real, fresh information rather than the model's memory.

🧑‍💻

Knows you — profile-aware

A prompt can auto-use your profile (location, name, units) so you don't retype it every time.

🌐

Public MCP prompts

Platform-approved prompts available to everyone, backed by a trusted, vetted server.

🔒

Private prompts & servers

Your own prompts can use your own remote servers — author-only, no approval needed.

1

Pick an agent prompt

Choose something like Weather from the library. It knows to use your city from your profile.
2

Ask naturally

Type "What is the weather today?" — notaeAI resolves your location from your profile automatically.
3

It fetches real data

Behind the scenes notaeAI gets the data and answers from it, then tells you where the answer came from. If the source is unavailable you are told that, rather than being handed an estimate that reads like a real reading.
4

Personalize it

Press Use to keep it: your details are remembered and the conversation becomes yours to come back to. The Details button on the card overrides your saved details for that one prompt only.
ℹ️Some live sources are built in and do not use MCP at all. Weather is the one to know: it reads conditions for your location directly, so it is a notaeAI tool rather than a separate server. It is still profile-aware — it uses your saved location unless you override it.
💡Profile-aware: a prompt can use your saved details (like your city) automatically. You can always see and override them before a prompt runs, so it never feels like it guessed wrong.
💡Save a conversation as an agent: if you keep returning to the same kind of question, you can save that conversation as a reusable prompt/agent — the prompt stays, and the chat log can be cleared.
💡

Tips & Best Practices

→Check the title before you ask: a room's name and cover means those answers come from that room; your avatar means the cross-room Home Room scope.
→Be specific. 'Explain relativity to a 10-year-old' beats 'explain relativity'.
→Use a prompt from the library when you want a particular style (research, persona, writing).
→Working in a room? Use the room's notaeAI (✨ Ask notaeAI in the room menu) and its links to chat, calendar, tasks and bookshelf stay around you.
→If an answer says it cannot reach the room's content, ask that room's Sage instead — the room's notaeAI tells you when its reach is the activity and a ranked subset rather than everything.
→Using a prompt inside a room keeps you in that room — your conversation is saved in that room's history.
→Attach a document/image when your question is about that file — notaeAI switches tools automatically.
→Use Voice mode when you want a hands-free back-and-forth.
→Preview a prompt before starting to make sure it's asking the right questions.
→Watch for the credits confirmation on pricier actions — it tells you the cost before you commit.
→Press Use on a library prompt instead of writing from scratch: it remembers your details and keeps its own conversation.
→Set your location and units once in your shared details — every prompt that needs them picks them up.
→Pin the runs you return to and archive the rest — My Research stays useful when it stays tidy.
→Share a research run into a study room when it should outlive the conversation, then promote it to the room's bookshelf.
